One key advantage of outsourcing the task of managing all the equipment to a contractor is the complete transparency of the cost of the prints produced.

This is achieved by uniform pricing of the services provided. Colour and black-and-white prints are billed at one charge per print category, regardless of the different types of printing equipment used to produce them.

The charges cover all the costs related to the production of the prints (investment in fixed assets, maintenance services, consumables), with the only variable being the number of prints produced. Thus, it is easy to calculate the cost of prints related to a specific work area or a building.

Pricing Coverages

The fees offered (fixed, as well as fees per type of print) cover the following:

  • The value of the new equipment offered/supplied.
  • Full technical service of the offered/supplied as well as existing equipment (if any) that will be included in the contract for the entire duration of the contract.
  • All consumables (toner, imaging units, maintenance kits, fuser, transfer units, etc.) for all of the supplied – existing equipment (except stationery and staplers) without restrictions on the page coverage of the prints.
  • Transport and installation services of the new equipment provided during the initial implementation.
  • Training services for all users in handling the new equipment during the initial implementation.
  • The services of the Xerox Print Services Help Desk staff are described in the Operation Services chapter.

Services Management and Certification Actions

We present the actions we support to manage the contract and evaluate Xerox Print Services.

Quarterly (3 months) or Annual Management Reports (depending on the type of contract):

The reports consist of a staff summary that includes the contract’s basic operating data and is accompanied by files with production data and indicators calculated for each machine separately.

More specifically, the executive summary includes:

  • Number of prints per production category (BW, CLR)
  • Achieving breakdown recovery time targets.
  • Achieving consumables availability targets.
  • Cost of all services
